Event Planning Case Study

The Problem

Once upon a time, out of the blue, event planning was added to my job description. The first events my team organized had little to no turnout and money was being wasted on refreshments and supplies. We couldn't figure out the way to market to our target audience. The residents in the dorms just didn't seem interested. Furthermore, my team members weren't animated about marketing the events and were very inconsistent with their marketing techniques.

The Solution

A Real Success

First, I collected data from the highest turnouts to events by asking myself some questions:  How was it marketed? Who consistently comes? What do other organizations do? With this information I came to the conclusion that our event locations were inconvenient, our event posters were not effective and needed to be upgraded, and the location of those posters needed to be better. For the next event, I assigned someone to design the posters and then hand-delivered and spoke to the people in person about placement. I then sent out consistent reminders through email during the week leading up to the event. We then selected a location in the center of the residential hales and played music to attract more residents. Additionally, we adjusted the time of the event to allow for more people to attend.

The Outcome

Success!

Through my diligence, research, and teamwork we were able to increase attendance at the first event from 20-90 and again at another event, using the same strategy, we increased attendance to 187. Residential Life has since had much better turnouts consistently.
